Coordinate exclusives, embargoes and interviews without creating conflicting promises.
An exclusive offers a defined reporting opportunity to one outlet or reporter for an agreed period. An embargo coordinates access to information ahead of an agreed release time and can involve several reporters. An ordinary pitch makes neither commitment. Choose based on the story, preparation time and client objectives. A complicated exclusive is unnecessary when the client has already announced the facts publicly. Write the exact subject matter covered by the arrangement so the team knows whether it concerns the whole announcement, a particular dataset or a specific interview.
Ask whether the reporter is interested in the proposed terms before sending material that depends on those terms. State the release date, time and time zone, and clarify any publication window or response deadline. Silence is not acceptance. Keep the written agreement in the campaign record and confirm the client can honor it across investors, partners, social posts and public webpages. Terms such as background and off the record can be interpreted differently; discuss the exact understanding before disclosing information rather than assuming a phrase in an email creates protection.
Use a single schedule showing evidence approval, interviews, demonstration access, embargo time, owned-channel publication and supporting distribution. Assign someone to monitor changes and notify affected participants. Check time-zone conversion against the actual date, including daylight-saving differences. If a partner needs to announce earlier, resolve that conflict before offering the later embargo. Give reporters enough practical preparation time for the material being offered, without inventing a universal minimum. A complex dataset and several interviews require different coordination from a short factual update with one available source.
Define what happens if the reporter declines, misses an agreed decision point or decides the story is not suitable. An accepted exclusive is not an obligation to publish favorable coverage. If the facts change or become public unexpectedly, promptly explain the change to everyone affected and discuss the next step. Preserve a factual log of what was offered and agreed. Do not quietly tell a second reporter that they have the same exclusive. After the campaign, review whether the arrangement improved reporting quality and client outcomes enough to justify its coordination cost.
Specify the information, scope and proposed arrangement.
Record acceptance, deadline and time zone.
Align interviews, partners and public channels.
Communicate corrections, leaks or changed plans promptly.
A fictional water-monitoring startup has a new field dataset and two customers available for interviews. The agency offers one reporter a defined first-look opportunity with a response deadline before any restricted materials are shared. The reporter accepts a scope and publication window in writing. The agency then aligns the founder, customer calls, investor newsletter and website update on one schedule. A customer later discovers an error in a sensor reading. The agency pauses that claim, supplies the corrected data and explains its effect on the story before publication. The reporter chooses to continue with a narrower angle. The client understands that the agreement supplied access and timing, not a positive review, and the agency retains the corrected evidence version in the campaign record.
Another team labels a mass email exclusive and includes the complete announcement before receiving any agreement. It schedules the client’s public social post for the previous evening, then complains when a journalist covers the public information earlier than requested. A deadline typed into the subject line did not coordinate the parties. The preventable problems were conflicting public timing, absent acceptance and a promise the agency could not consistently honor.
Exclusivity does not turn a weak story into a strong one. It can make access or preparation more attractive when the underlying information already matters. Likewise, an embargo is not secrecy by default: treat it as a specific working agreement, and do not use it as a substitute for permission to disclose confidential material.
The course describes practical communication arrangements, not a guarantee about enforceability. For legally sensitive disclosures or contractual restrictions, obtain the client’s appropriate specialist review. Keep everyday outreach simple and explicit, and resolve uncertainty before information leaves the team rather than after a misunderstanding occurs.

Build a timing sheet for the water-monitoring dataset and its customer interviews.
Use a document or spreadsheet and the fictional case in this lesson. Public or synthetic evidence is sufficient; no purchase or real outreach is required.
Before: Specify the information, scope and proposed arrangement.

Have a colleague review your decision and evidence. Record the unresolved question, its owner and the next review date before using the plan with a client.
Before you move on
A reporter has accepted a first-look arrangement for your client’s dataset until Thursday morning. On Wednesday the investor team schedules the full dataset in a public newsletter, and another colleague offers it to a second reporter. Which action best protects the campaign?
