Module 03 / Lesson 11 · Read, apply, check
Run a client review that produces decisions, a credible renewal case and a clear next-period scope.
A review meeting should answer what to continue, change, stop or investigate. Send a concise evidence summary beforehand, including the original objectives, delivered work, observed response, unresolved issues and proposed choices. Ask the client which business priorities have changed since the last plan. Identify who can make the relevant budget and scope decisions and invite them at the appropriate point. Avoid using the meeting to read every line of a report aloud. The agency should arrive with a view, supported by evidence, while leaving room for the client’s operating context to change the recommendation.
Separate what the agency delivered from what the campaign influenced and what remains uncertain. Acknowledge missed commitments before presenting favorable results. Explain the cause you can support, the corrective action and its owner. Ask the client how the work is being used by sales, leadership or other teams. Listen for practical obstacles such as unusable formats, slow approvals or messages that no longer match the product. These details often explain more than a headline coverage count. Keep the conversation focused on improving the programme rather than defending every past decision or trying to make the client praise the work.
The renewal case should connect the next period’s work to a current need, not merely recap sunk effort. Present a recommended plan, a narrower alternative and any meaningful change in fee or responsibility. Use actual delivery data to explain scope adjustments. If the client needs less work, a smaller viable package may preserve a healthier relationship than an oversized retainer. Begin renewal discussions early enough for procurement and budget decisions, but avoid artificial deadlines that do not reflect real capacity or terms. The client should be able to see why the next commitment is useful and how its success will be reviewed.
Capture the agreed priorities, stopped activities, scope changes, owners, dates and unresolved approvals. Send a short record that distinguishes decisions from suggestions. Update the delivery plan so the account team does not continue work the client has just deprioritized. If renewal is undecided, name the missing condition and next decision date rather than reporting the account as certain. A review is successful when it creates a clearer operating agreement. A friendly meeting with no decision may still be valuable relationship time, but it should not be mistaken for a confirmed renewal or authorization for additional work.
Share evidence and the choices to resolve.
Connect results with current business needs.
Explain the next scope, alternatives and fee.
Name approvals, owners and decision dates.
A fictional agency reviews a three-month programme with a professional-services client. The evidence shows strong engagement from a narrow industry audience but little useful response from broad business placements. The agency also acknowledges one late report and explains the corrected review schedule. Sales says prospects need a clearer comparison of two service options. The agency recommends reducing broad placement activity and using the capacity for expert interviews, a comparison asset and focused outreach. It presents the revised scope and fee before discussing renewal. The client’s marketing lead supports the plan, but procurement needs two weeks to approve it. The account record therefore shows a supported renewal proposal with an outstanding procurement decision, not a completed sale. The team stops the deprioritized work only as agreed and assigns owners to the new evidence requirements.
Another review spends forty minutes displaying logos and concludes that the client must renew because substantial work has already been done. Nobody asks whether the business priority has changed. The marketing contact says the meeting was helpful, and the agency marks renewal as confirmed. Procurement later rejects the unchanged scope. The agency had confused positive sentiment with purchasing authority and a historical activity summary with a reason to buy the next period.
Retention does not require persuading every client to buy the same service forever. It requires earning a suitable next commitment through useful work and honest advice. Sometimes the right review decision is to narrow the programme, pause a weak route or end an engagement cleanly. Those choices can protect credibility and future referrals.
Follow the actual renewal and notice terms, and distinguish a supportive conversation from formal authorization. Do not create a false deadline or assume a contact has purchasing authority. Record commercial changes through the agreed process before the delivery team begins work outside the current scope.
Do this today · 30 minutes
Create a renewal agenda and decision record for the professional-services case.
Use a document or spreadsheet and the fictional case in this lesson. Work with synthetic information; no purchase, real client records or actual transaction is required.
Before: Share evidence and the choices to resolve.
After: Name approvals, owners and decision dates.

Ask a colleague to challenge the assumptions. Record the decision, the evidence still needed, its owner and a review date before applying the plan to a real agency.
Before you move on
A client review shows useful response from a specialist audience and little value from broad placements. The marketing contact likes your revised plan, but procurement has not approved renewal. Which next step best reflects the evidence and the status of the commercial decision?
