Start with the decision the campaign should influence

Define the audience, business context and desired change in understanding or behavior. A client entering a new market may need credible explanation, relevant awareness and a reason for prospective buyers to investigate further. Map the evidence and sources available before allocating channels. Identify which questions deserve independent reporting, which can be answered through useful contributed material and which require a straightforward announcement. This keeps the campaign coherent. It also prevents the agency from choosing the easiest available product first and inventing a strategic justification only after the budget has been spent.

Assign each route a distinct role

Use earned outreach for independent investigation, journalist relationships and stories with genuine reader value. Use NewsPass to support SEO, PR and GEO goals through relevant brand context and expertise. Use the Guest Post Marketplace when the customer wants to hand-pick publications by audience, relevance and budget while retaining campaign control. Give distributed releases a specific announcement role. If the client wants Sitetrail to manage strategy, coordination, execution and reporting, Accelerated Monthly PR & SEO is a different managed-service proposition. Do not blur that distinction or use a managed programme as a substitute for explaining the actual route of each article.

Protect the agency work that creates differentiation

Reserve time for interviewing, original evidence collection, journalist research, pitch development, source preparation and follow-up. Those activities create information and relationships that a placement purchase cannot automatically supply. Set a budget by purpose and a realistic work plan rather than a universal percentage split. Give each workstream an owner, inputs, approval point, dependencies and review date. Align the factual core across channels while adapting the angle for each audience. A campaign should present a coherent company, not identical articles everywhere or contradictory claims created by separate suppliers working without shared evidence.

Review the mix by what it actually delivered

Report route, cost, output and observed outcome separately. Track substantive media conversations, original coverage, arranged articles, release copies, referral activity and credible commercial signals without merging them into one inflated total. Use a consistent observation method for search and AI-answer visibility, and state attribution limits. At review, ask which activity supplied useful evidence or reached the intended audience, and where the next investment should go. The correct response may be more research, a different publication, a better client source or a simpler announcement—not automatically more placements or more messages.

The complete campaign mix

Evidence

Original facts, expertise and a clear audience problem.

Earned

Relevant journalists, independent stories and reliable source access.

Support

NewsPass, hand-picked publications and purposeful announcements.

Decision

Route-specific results and the next evidence-led investment.

The agency’s value comes from strategy, original information and judgment across the whole mix.

See it in practice

A fictional industrial software company is entering a new region. The agency begins with customer interviews and a documented operating problem. It develops an earned-media proposition for relevant reporters, supported by a founder interview and a technical demonstration. NewsPass supports a small set of explanatory topics tied to buyer questions. The client hand-picks two Marketplace publications with appropriate regional and industry audiences, using the same verified factual core but distinct article angles. A release supplies the official launch details after agreed advance conversations are complete. The campaign register names the route and owner for every activity. At review, the agency can explain which conversations became original reporting, which pages were arranged placements and what referral or enquiry evidence was actually observed.

Compare the alternative

A competing plan spends the entire budget on the cheapest placements, rewrites one release repeatedly and stops talking to journalists. Its report labels every page top-tier earned coverage and attributes all new leads to PR. The client receives activity but loses the distinctive evidence, independent scrutiny and professional relationships that made the agency valuable. The campaign has become harder to evaluate because route, cost and outcome have been deliberately collapsed into one attractive number.

Avoid this misconception

Supporting products do not make your own outreach obsolete. They can broaden a coherent campaign, while original reporting opportunities still depend on evidence, access, timing and editorial relevance. Equally, earned media alone may not fulfill every practical communication need. Choose a mix by purpose and describe each component accurately rather than treating one route as a universal answer.

Know the boundary

No mix guarantees rankings, independent coverage, AI citations or sales. Current product terms and publication availability must be checked before purchase. Keep agency fees, external costs, client responsibilities and uncertain outcomes explicit so the client approves a real plan and can judge its results fairly.

Turn this lesson into a useful action.

Build a 90-day outreach and supporting-media plan for the regional launch.

Before you start

Use a document or spreadsheet and the fictional case in this lesson. Public or synthetic evidence is sufficient; no purchase or real outreach is required.

Your steps

  • Assign each audience question to an appropriate route.
  • Protect research and journalist work in the schedule and budget.
  • Define reporting categories and the next review decision.

What better looks like

Before: Original facts, expertise and a clear audience problem.

After: Route-specific results and the next evidence-led investment.

Your working notes

Notes stay in this browser. Download a copy to keep them.

Verify your work

  • Every route has a purpose and owner.
  • Marketplace control and managed-service responsibility remain distinct.
  • The report separates outputs from observed outcomes and causal claims.

Follow up

Have a colleague review your decision and evidence. Record the unresolved question, its owner and the next review date before using the plan with a client.

Before you move on

Make the decision.

A client asks why it should retain your agency’s outreach work when NewsPass and Marketplace placements are available. It wants a regional launch campaign and can provide original customer evidence. Which explanation best supports a balanced plan?
