Open with a useful agenda

Agree the purpose and time available. Explain that you want to understand the business situation, current communication and decision process before recommending work. Ask what the buyer most needs from the call. This makes discovery collaborative rather than an interrogation. Keep a short structure in front of you, but listen to the answers. A prospect’s unexpected explanation may be more valuable than completing every question in your original order.

Move from symptoms to consequences

When a buyer says they need visibility, ask where the lack of visibility causes difficulty. Is the sales team repeatedly explaining basic credibility? Are potential partners unfamiliar with the category? Does the founder lack a coherent position on an industry issue? Ask for a recent example and the consequence. Avoid leading the buyer toward your favorite service. The aim is to understand a business problem in enough detail to judge whether a communication intervention could help.

Inspect existing evidence and attempts

Ask what the company has tried, what happened and how the result was assessed. Review available customer stories, expert access, research and media relationships. Identify what is missing and why. A previous disappointing agency engagement may reflect weak execution, unrealistic expectations or unavailable client inputs. Treat the account as evidence to investigate, not an invitation to criticize a competitor. Clarify which outcomes are controllable and which depend on third parties or broader business conditions.

Close with an agreed interpretation

Summarize the problem in the buyer’s language, the evidence supporting it and the important unknowns. Ask whether your interpretation is accurate. Then agree the next decision: provide a missing input, involve another stakeholder, scope a diagnostic or prepare a proposal. Name the owner and date. Send a concise recap that distinguishes confirmed facts from hypotheses. A discovery call is successful when both sides understand the next step, even if the right conclusion is that the agency is not the best fit.

The discovery conversation

Situation

What changed and what does the buyer want to achieve?

Consequence

Where does the communication problem affect the business?

Evidence

What exists, what was tried and what remains unknown?

Agreement

Confirm the diagnosis, owner and next dated decision.

Discovery converts a broad request into a shared, testable understanding.

See it in practice

An illustrative marketing director begins a call by asking for coverage in prestigious business media. The strategist asks what that coverage is expected to change. The director explains that enterprise prospects question whether the product has been deployed at scale. Further discussion reveals that three strong customers exist, but their stories have never been documented and the sales team lacks usable proof. The strategist summarizes the problem as an evidence gap affecting buyer confidence, not simply a shortage of logos. They agree to confirm customer participation and involve the sales lead before scoping work. The follow-up note records the desired commercial outcome, available evidence and unresolved permissions. A credible proposal can now connect research, narrative and outreach to a specific problem.

Compare the alternative

Another salesperson uses the discovery call to deliver a long presentation about agency capabilities. When the buyer mentions disappointing past PR, the salesperson promises better results without asking what failed. The call ends with a generic proposal and no agreed decision date. Although the agency has spoken extensively, it has learned little about the buyer’s problem, evidence or internal process. The proposal must therefore rely on assumptions that a better conversation could have tested.

Avoid this misconception

A discovery call is not a free strategy workshop, but it must provide enough understanding to justify the next step. You can share a useful diagnosis without designing every campaign asset. Explain where deeper research begins and why that work belongs in a defined engagement.

Know the boundary

Some buyers cannot disclose sensitive details on an introductory call. Work with the information they can share and identify what must be established later through an appropriate process. Do not pressure them to reveal private customer or internal information merely to complete your checklist.

Do this today · 30 minutes

Turn this lesson into a useful action.

Write a twenty-minute discovery agenda for a buyer asking for prestigious media coverage.

Before you start

A document or spreadsheet and the public information described below. You can use the illustrative scenario without a website, paid account or live prospect.

Your steps

  • Allocate time to situation, consequences, evidence and next steps.
  • Write open questions and one follow-up for each.
  • Draft a neutral summary of the likely problem.
  • Create a recap template separating facts, hypotheses and actions.

What better looks like

Before: A broad request for visibility with no agreed explanation of the business problem.

After: A buyer-confirmed diagnosis, evidence gaps and an owned next decision.

Your working notes

Notes stay in this browser. Download a copy to keep them.

Verify your work

  • Questions investigate the desired business change.
  • The summary can be corrected by the buyer.
  • The call ends with an owner and dated decision.

Follow up

Review this worksheet after your next real conversation or campaign review. Record what changed, the evidence for that change and your next dated action.

Before you move on

Make the decision.

A buyer requests prestigious media coverage, but discovery reveals that sales prospects mainly ask for proof of successful customer deployments. The company has suitable customers but no documented stories. What should your recap identify as the strongest basis for the next agency decision?
