1. Definition and scope
Sitetrail WooToolbox is a WooCommerce extension plugin for WordPress, published by Sitetrail. It addresses a recurring pain point for store owners: the need for many small but essential commerce tools — invoice download, checkout field tweaks, size guides, supplier order emails, customer CSV export, post-purchase follow-ups — that are typically scattered across multiple third-party plugins with inconsistent admin UX and overlapping overhead.
WooToolbox consolidates these capabilities into one modular toolkit. Every feature has its own settings screen, its own enable/disable toggle, and its own storefront or admin behavior. Store owners turn on only what they need. Agencies can deploy a single plugin and configure the relevant modules per client without plugin sprawl.

2. System model
The WooToolbox model is modular by design. A central plugin bootstrap loads feature classes only when WooCommerce is active. Each module registers its own admin settings page, hooks, and (where applicable) storefront behavior. A shared license gate controls whether customer-facing and automation features run; admin tooling such as Store Activity remains available for operational awareness.
Configuration flows through standard WordPress options and post meta. Storefront changes apply via WooCommerce filters and actions. Email features use WordPress wp_mail() and respect SMTP plugins. Scheduled tasks (monthly sales reports, email sequence delays, Store Activity cleanup) use WordPress Cron.

4. Customer-facing capabilities
WooToolbox improves the shopper experience without requiring theme edits or custom code:
- Self-service invoices. Logged-in customers download or email a professional HTML invoice from My Account → Orders → View Order. Invoices include issuer branding, itemized totals, and optional company/VAT details the customer saved on their account.
- Cleaner checkout. Store owners hide unnecessary fields, rename labels to match their market, and collect delivery instructions or attribution data — all on the classic checkout page.
- Richer product pages. Custom tabs (size guides, care instructions, specifications) and controlled default tab order give product pages the structure customers expect from established brands.
- Conversion-focused storefront cues. Custom Add to Cart wording (“Buy now”, “Book now”) and trust lines under the button reinforce purchase confidence at the decision point.
- Order guardrails. Minimum order amount and minimum quantity rules prevent undersized orders before checkout completes.
- Branded post-purchase journeys. Custom thank-you page redirects send buyers to onboarding pages, upsell landers, or partner content immediately after purchase.
5. Store operations and admin tools
Behind the storefront, WooToolbox gives operators practical day-to-day tools:

6. Supplier and dropship fulfillment
WooToolbox includes a purpose-built supplier and dropship fulfillment email module — one of its strongest differentiators for stores that work with external partners rather than holding all inventory in-house.
6.1 Product-level partner assignment
Each product (including variable products via parent meta) can carry a supplier or dropship partner name, email, supplier SKU/reference, and fulfillment notes. Enable fulfillment per product so mixed-catalog stores route only the relevant items.
6.2 Automatic grouped notifications
When an order reaches Processing or Completed (configurable), WooToolbox groups line items by partner email and sends one consolidated fulfillment email per partner per order. Emails include shipping address, phone, optional customer email, delivery instructions from checkout, and line-item detail with supplier SKU and notes.
6.3 Operational safeguards
Duplicate-send protection via order meta ensures partners are not spammed on status re-triggers. Order notes log successful and failed sends for audit. Optional admin BCC copy and configurable reply-to keep the store owner in the loop.
7. Email and marketing automation
WooToolbox provides two complementary email capabilities that cover both automated lifecycle messaging and manual campaigns:
7.1 Post-purchase email sequences
Per-product sequences trigger on order completion with individually timed emails (hours or days after purchase). Each product in an order runs its own sequence independently. Sequences support reusable templates, drag-and-drop ordering, test sends, and rich placeholders ({customer_name}, {order_number}, {product_name}, {product_url}, and more). Subscription-aware: sequences fire on initial subscription purchase, not on renewals.
7.2 Bulk email campaigns
One-time admin-initiated campaigns reach all customers or only customers who purchased selected products. Preview recipient count before sending. Placeholders personalize each message. HPOS-safe customer lookup ensures accurate targeting on modern WooCommerce installs.
7.3 SMTP-ready delivery
All email features use WordPress wp_mail() and integrate cleanly with SMTP plugins (WP Mail SMTP, Post SMTP, etc.) for reliable deliverability. Admin warnings guide operators toward SMTP configuration when email modules are enabled.
8. Store Activity notification system
Store Activity is WooToolbox’s live operational awareness layer for ecommerce teams working inside WordPress admin.
8.1 Admin bar bell with live feed
A notification bell in the WordPress admin bar displays an unread count badge. Clicking it opens a dropdown feed of recent store events. The count polls via AJAX while admin is open, so teams see new orders and issues without refreshing.
8.2 Real WooCommerce events
Configurable event types include new orders, large orders (threshold configurable), first-time customer orders, refunds, cancellations, payment issues (on-hold/failed), low stock alerts, and approved product reviews. Each event deep-links to the relevant order, product, or review screen.
8.3 Shared team feed
All users with WooCommerce admin access share one activity feed and one global unread count. Mark-as-read actions update the feed for the whole team — ideal for small ecommerce teams where everyone needs the same operational picture.
8.4 Retention and deduplication
Per-event toggles, configurable retention (7–365 days), order-meta deduplication, and daily cleanup keep the feed useful even on high-volume stores. Store Activity runs in admin without requiring an active license, so teams retain operational visibility during license transitions.

WooToolbox is built as a native WooCommerce extension, not a generic WordPress plugin with commerce bolted on:

- WooToolbox is not a standalone SaaS platform. It runs inside WordPress on the store owner’s server.
- WooToolbox is not a full dropshipping automation suite. Supplier & Dropship Fulfillment sends partner notification emails; inventory sync, tracking, and supplier portals are out of scope.
