Summary. Sitetrail WooToolbox is a WordPress plugin that extends WooCommerce with practical, independently toggleable tools for running a store day to day. Instead of installing a dozen single-purpose plugins, store owners get a unified admin experience — a card-based dashboard, dedicated settings pages, and an in-admin user guide — covering customer invoices, classic checkout field management, product tab and size guide control, Add to Cart customization, minimum order rules, supplier and dropship fulfillment emails, CSV customer export, post-purchase email sequences, one-time bulk email campaigns, custom thank-you page redirects, monthly sales report emails, and a live Store Activity notification feed in wp-admin. Each module can be enabled or disabled on its own. The plugin runs entirely inside the customer’s WordPress site, requires WooCommerce, is tested with WordPress 7.0 and WooCommerce 10.8 including HPOS, and includes a 30-day trial with Sitetrail subscription licensing.

1. Definition and scope

Sitetrail WooToolbox is a WooCommerce extension plugin for WordPress, published by Sitetrail. It addresses a recurring pain point for store owners: the need for many small but essential commerce tools — invoice download, checkout field tweaks, size guides, supplier order emails, customer CSV export, post-purchase follow-ups — that are typically scattered across multiple third-party plugins with inconsistent admin UX and overlapping overhead.

WooToolbox consolidates these capabilities into one modular toolkit. Every feature has its own settings screen, its own enable/disable toggle, and its own storefront or admin behavior. Store owners turn on only what they need. Agencies can deploy a single plugin and configure the relevant modules per client without plugin sprawl.

The scope is WooCommerce store management and customer experience enhancement on the operator’s own WordPress site. WooToolbox is not a SaaS platform, not a full ERP, and not a dropshipping automation suite — it is a focused collection of high-value store tools that integrate natively with WooCommerce orders, products, customers, and checkout.

2. System model

The WooToolbox model is modular by design. A central plugin bootstrap loads feature classes only when WooCommerce is active. Each module registers its own admin settings page, hooks, and (where applicable) storefront behavior. A shared license gate controls whether customer-facing and automation features run; admin tooling such as Store Activity remains available for operational awareness.

Configuration flows through standard WordPress options and post meta. Storefront changes apply via WooCommerce filters and actions. Email features use WordPress wp_mail() and respect SMTP plugins. Scheduled tasks (monthly sales reports, email sequence delays, Store Activity cleanup) use WordPress Cron.

Figure 1. WooToolbox modular architecture. Twelve independent feature modules connect to WooCommerce through a shared core. Each module can be enabled or disabled individually from the WooToolbox dashboard.

3. Feature modules

WooToolbox ships twelve production-ready modules. Each module is self-contained: its own settings page, enable toggle, and implementation class.

4. Customer-facing capabilities

WooToolbox improves the shopper experience without requiring theme edits or custom code:

  • Self-service invoices. Logged-in customers download or email a professional HTML invoice from My Account → Orders → View Order. Invoices include issuer branding, itemized totals, and optional company/VAT details the customer saved on their account.
  • Cleaner checkout. Store owners hide unnecessary fields, rename labels to match their market, and collect delivery instructions or attribution data — all on the classic checkout page.
  • Richer product pages. Custom tabs (size guides, care instructions, specifications) and controlled default tab order give product pages the structure customers expect from established brands.
  • Conversion-focused storefront cues. Custom Add to Cart wording (“Buy now”, “Book now”) and trust lines under the button reinforce purchase confidence at the decision point.
  • Order guardrails. Minimum order amount and minimum quantity rules prevent undersized orders before checkout completes.
  • Branded post-purchase journeys. Custom thank-you page redirects send buyers to onboarding pages, upsell landers, or partner content immediately after purchase.

5. Store operations and admin tools

Behind the storefront, WooToolbox gives operators practical day-to-day tools:

  • Customer CSV export with powerful filters — by registration date, last purchase, products bought, subscription status — and selectable columns for CRM import, mailouts, or analysis.
  • Monthly sales report email delivered automatically on the last day of each month with revenue, order volume, best sellers, top customers, and optional month-over-month comparison.
  • Card-based dashboard showing every module at a glance with enable toggles, quick links to settings, and status indicators.
  • Dual admin menu — accessible from both the top-level WooToolbox menu and WooCommerce → WooToolbox — so teams find settings wherever they expect them.
  • Built-in User Guide with step-by-step setup for every feature, plus contextual help on each settings page.
  • Reliable form saving — standard WordPress POST forms with full-form save (not fragmented AJAX) so settings persist reliably.

6. Supplier and dropship fulfillment

WooToolbox includes a purpose-built supplier and dropship fulfillment email module — one of its strongest differentiators for stores that work with external partners rather than holding all inventory in-house.

6.1 Product-level partner assignment

Each product (including variable products via parent meta) can carry a supplier or dropship partner name, email, supplier SKU/reference, and fulfillment notes. Enable fulfillment per product so mixed-catalog stores route only the relevant items.

6.2 Automatic grouped notifications

When an order reaches Processing or Completed (configurable), WooToolbox groups line items by partner email and sends one consolidated fulfillment email per partner per order. Emails include shipping address, phone, optional customer email, delivery instructions from checkout, and line-item detail with supplier SKU and notes.

6.3 Operational safeguards

Duplicate-send protection via order meta ensures partners are not spammed on status re-triggers. Order notes log successful and failed sends for audit. Optional admin BCC copy and configurable reply-to keep the store owner in the loop.

Use case. A store selling both in-house and dropshipped products assigns each dropship SKU to its supplier. When a customer checks out with items from two suppliers, each supplier receives exactly one email with only their line items — no manual copy-paste from the WooCommerce admin order screen.

7. Email and marketing automation

WooToolbox provides two complementary email capabilities that cover both automated lifecycle messaging and manual campaigns:

7.1 Post-purchase email sequences

Per-product sequences trigger on order completion with individually timed emails (hours or days after purchase). Each product in an order runs its own sequence independently. Sequences support reusable templates, drag-and-drop ordering, test sends, and rich placeholders ({customer_name}, {order_number}, {product_name}, {product_url}, and more). Subscription-aware: sequences fire on initial subscription purchase, not on renewals.

7.2 Bulk email campaigns

One-time admin-initiated campaigns reach all customers or only customers who purchased selected products. Preview recipient count before sending. Placeholders personalize each message. HPOS-safe customer lookup ensures accurate targeting on modern WooCommerce installs.

7.3 SMTP-ready delivery

All email features use WordPress wp_mail() and integrate cleanly with SMTP plugins (WP Mail SMTP, Post SMTP, etc.) for reliable deliverability. Admin warnings guide operators toward SMTP configuration when email modules are enabled.

8. Store Activity notification system

Store Activity is WooToolbox’s live operational awareness layer for ecommerce teams working inside WordPress admin.

8.1 Admin bar bell with live feed

A notification bell in the WordPress admin bar displays an unread count badge. Clicking it opens a dropdown feed of recent store events. The count polls via AJAX while admin is open, so teams see new orders and issues without refreshing.

8.2 Real WooCommerce events

Configurable event types include new orders, large orders (threshold configurable), first-time customer orders, refunds, cancellations, payment issues (on-hold/failed), low stock alerts, and approved product reviews. Each event deep-links to the relevant order, product, or review screen.

8.3 Shared team feed

All users with WooCommerce admin access share one activity feed and one global unread count. Mark-as-read actions update the feed for the whole team — ideal for small ecommerce teams where everyone needs the same operational picture.

8.4 Retention and deduplication

Per-event toggles, configurable retention (7–365 days), order-meta deduplication, and daily cleanup keep the feed useful even on high-volume stores. Store Activity runs in admin without requiring an active license, so teams retain operational visibility during license transitions.

9. WooCommerce integration and compatibility

WooToolbox is built as a native WooCommerce extension, not a generic WordPress plugin with commerce bolted on:

  • Requires WooCommerce 8.0+ (tested up to 10.8) and WordPress 6.5+ (tested up to 7.0).
  • HPOS compatible — High-Performance Order Storage supported; customer export, bulk email, and sales reports use HPOS-safe order and customer APIs.
  • Cart/checkout block declared compatible — WooCommerce feature compatibility declared via FeaturesUtil.
  • Classic checkout customization — checkout field management applies to the
shortcode page, the standard approach for field-level control.
  • WooCommerce admin styling — settings pages follow WooCommerce admin patterns for a familiar operator experience.
  • Internationalization ready — text domain wootoolbox with POT file for translation.
  • Sitetrail licensing — 30-day trial on first install; weekly remote verification; automatic plugin updates via Sitetrail License Manager; 24-hour grace period after subscription expiry.

10. Market differentiators

The following capabilities distinguish WooToolbox from assembling multiple single-purpose plugins or using heavyweight commerce suites:

Capability WooToolbox Typical approach
Tool consolidation Twelve commerce tools in one plugin with unified dashboard and user guide 5–12 separate plugins with inconsistent UX and overlapping hooks
Modular activation Every feature independently enable/disable; no bloat from unused modules All-or-nothing suites or always-on plugin overhead
Customer invoices HTML download + email from My Account; print-to-PDF in browser; B2B company/VAT fields Separate PDF invoice plugin or manual PDF generation
Supplier fulfillment Product-level partner assignment with grouped auto-emails and duplicate protection Manual order forwarding or expensive dropship platforms
Post-purchase automation Per-product email sequences with templates, delays, and subscription-aware triggers Generic newsletter plugins without order/product context
Store Activity Live admin bell + shared team feed for real WooCommerce events Email-only notifications or third-party monitoring dashboards
Checkout + storefront control Field management, product tabs, size guides, ATC text, trust lines, and minimums in one toolkit Multiple snippet plugins or theme customizer hacks
Customer export Filtered CSV with product, date, and subscription filters plus column selection Basic WooCommerce export or manual SQL
Monthly reporting Automated email with revenue, top products, top customers, and YTD — no external analytics required Manual spreadsheet work or paid analytics subscriptions
Runs on own site Self-contained WordPress plugin; no external SaaS dependency for core features Cloud dashboards with data hand-off and recurring platform fees
HPOS + modern WC Tested with WooCommerce 10.8, WordPress 7.0, and HPOS Legacy plugins breaking on order table migrations
Position statement. WooToolbox is built for WooCommerce store owners and agencies who need practical, reliable store tools without plugin sprawl. It combines customer-facing improvements (invoices, checkout, product tabs, storefront conversion), operational automation (supplier emails, email sequences, bulk campaigns, sales reports), and team awareness (Store Activity) in one lightweight, modular package that runs entirely on the store’s own WordPress site.

11. What WooToolbox is not

To prevent category confusion:

  • WooToolbox is not a standalone SaaS platform. It runs inside WordPress on the store owner’s server.
  • WooToolbox is not a full dropshipping automation suite. Supplier & Dropship Fulfillment sends partner notification emails; inventory sync, tracking, and supplier portals are out of scope.
  • WooToolbox is not a CRM or email marketing platform like Mailchimp or Klaviyo. It provides WooCommerce-native sequences and bulk email using the store’s own mail system.
  • WooToolbox is not a page builder or theme. It enhances WooCommerce behavior through hooks and settings, not layout design.
  • WooToolbox is not an AI chat or sales assistant. For AI-powered visitor chat grounded in the product catalog, Sitetrail offers AI Live Chat Pro as a complementary plugin.
