Start with the decision the buyer faces

Ask sales, customer success and subject experts which questions repeatedly affect a purchase or implementation decision. Review appropriate public questions, approved call notes and existing support material. Look for constraints such as team size, operating environment, integration, cost, risk and timing. A buyer choosing software may ask how to compare approaches before asking for a vendor list. Write the decision in plain language and identify what information would help resolve it. This is more useful than starting with dozens of variations of best provider and assuming every buyer begins with the same generic comparison.

Group questions by intent and stage

Create a small set of categories: understanding the problem, comparing approaches, evaluating suppliers, checking implementation and resolving risk. Keep branded verification questions separate from unbranded discovery. Within each group, note the audience, decision stage and practical constraint. Similar wording can hide different needs; maintenance software for a solo contractor is not the same decision as maintenance software for a regulated multi-site operation. Conversely, many differently phrased questions may be answered by one strong resource. Group by the information needed, not only by shared keywords, so the content plan remains useful and manageable.

Prioritize with evidence and feasibility

Rate each question on commercial relevance, frequency of observed demand, importance of the decision and the client’s ability to provide distinctive evidence. Use plain reasons rather than an unexplained numerical score. A question can be valuable even if a keyword tool reports little volume, but do not invent demand merely because the agency wants to write about it. Mark evidence gaps and the expert needed to address them. Prioritize a few questions where the client can add a concrete method, dataset or experience. This connects the campaign to genuine expertise and avoids filling the web with generic summaries that another writer could produce without talking to the client.

Separate research prompts from reporting prompts

Exploratory prompts can help the team understand related questions and possible information gaps. They should not automatically enter the fixed measurement panel. Review their relevance with client evidence and decide deliberately which questions belong in ongoing observation. Keep a record of additions and retirements so changes in the panel do not masquerade as improved visibility. Do not imply that an agency’s prompt list represents the exact queries every AI product uses internally. It is a practical research and observation tool, designed around buyer situations the client recognizes and can serve with better information.

See it in practice

Fieldmark’s agency initially proposes content around the broad phrase best maintenance software. Interviews with sales and two authorized customer contacts reveal a more specific barrier: small teams worry that recording maintenance work will take longer than doing it. The agency groups questions around setup effort, mobile use, responsibility and the difference between reactive and planned work. The product lead can demonstrate a real workflow, while a customer can discuss the trade-off with permission. The campaign prioritizes an implementation explanation and an evidence-backed comparison of approaches. A general vendor-list prompt remains in the observation panel, but it does not dictate the whole content plan. The team records why the new questions matter and which material could answer them, giving the client a campaign based on a recognizable purchasing obstacle rather than a large spreadsheet of loosely related phrases.

Compare the alternative

Another agency generates five hundred near-identical prompts and assigns one article to each. It has no evidence that the client’s buyers ask those questions and no source material beyond existing summaries. The production plan becomes expensive before anyone checks whether it addresses the real implementation concern. When the client asks which decision the content helps, the agency points to the number of prompts rather than explaining a useful information gap or a credible audience need.

Avoid this misconception

A prompt map is not a secret map of an AI system’s reasoning. It is a structured view of buyer situations chosen for research and observation. Its value comes from relevance, evidence and consistent use. More prompts can increase work without increasing insight if they repeat the same need or lack a practical decision behind them.

Know the boundary

Use consented or approved customer information and remove identifying details that are unnecessary for research. Do not upload confidential sales conversations to external tools without authorization. The fictional process illustrates prioritization; it does not establish search demand, model behaviour or a guaranteed return from any chosen topic.

Do this today · 30 minutes

Turn this lesson into a useful action.

Build a question map for Fieldmark’s implementation concern.

Before you start

Use a document or spreadsheet and the fictional case in this lesson. Work with public or synthetic information; no purchase or confidential client records are required.

Your steps

  • Write six questions across three buying stages.
  • Identify evidence and an expert for the two strongest questions.
  • Separate exploratory questions from the fixed observation panel.

What better looks like

Before: Collect recurring decisions and constraints.

After: Assign a useful resource and an observation category.

Your working notes

Notes stay in this browser. Download a copy to keep them.

Verify your work

  • Questions reflect a recognizable buyer decision.
  • Demand claims have a source or are labelled hypotheses.
  • Content is grouped by need rather than one page per wording variation.

Follow up

Ask a colleague to challenge the interpretation. Record the evidence, uncertainty, next action, owner and review date before applying the plan to a client campaign.

Before you move on

Make the decision.

Your team has generated hundreds of generic best-software prompts, but sales evidence shows buyers mainly worry about implementation effort. The client can demonstrate a real workflow and provide an approved customer example. Which plan makes the strongest use of that information?
