Connect the event to a communication job

A trigger is a change that creates a plausible reason to act. Funding may create hiring, category education or market-entry needs. A launch may need product understanding, distribution support or executive explanation. Expansion may require local credibility. Reputation pressure may require clarification and evidence. Do not stop at congratulations. State the likely communication job and identify the business owner who would care. The event opens research; it does not establish a budget or authorize a pitch.

Verify the original signal

Read the company announcement, executive statement or event listing before relying on an aggregator summary. Record the date, link and exact observable fact. Check whether the change is current, completed or merely proposed. A recycled funding story can make a personalized message look careless. If sources conflict, flag the conflict. The agency should be able to show why this prospect entered the list without depending on the researcher’s memory or an AI-generated explanation.

Rank timing and relevance separately

Use two simple scores: how closely the situation fits your offer, and how soon a decision may matter. A perfect-fit company launching next year belongs in nurture; an urgent crisis outside your expertise should not enter your sales queue merely because it is urgent. Add an expiry date to the trigger. Once a launch has passed, a post-launch insight or customer proof offer may be more relevant than continuing to pitch launch preparation.

Write a hypothesis the buyer can correct

Useful outreach makes a small, specific inference and invites correction. “Your new German sales team may need local customer proof; is that part of the launch plan?” is more credible than asserting the company is invisible. Give the buyer an easy way to explain the real priority. For reputation-sensitive situations, use verified public information and neutral language. Your aim is to discover a useful assignment, not to dramatize a problem or exploit somebody’s difficulty.

From signal to conversation

Fact

European expansion announced on a dated company page.

Hypothesis

Local sales may need regionally relevant customer proof.

Question

Is local credibility a current launch priority?

Decision

Qualify, nurture or remove after the buyer responds.

The hypothesis is deliberately different from the verified fact.

See it in practice

A fictional logistics software company announces a European expansion and three senior sales hires. The researcher saves the announcement and dates it, then notices that every published customer example comes from North America. The agency forms a hypothesis: the new sales team may lack regionally relevant credibility. It identifies the marketing director rather than automatically contacting the chief executive. The first message offers a short evidence-gap review of local customer stories and executive commentary. During the call, the director explains that launch publicity is already covered, but a partner conference needs a stronger industry narrative. The agency changes the proposed assignment. The original trigger produced access because the observation was useful and the hypothesis remained open to correction.

Compare the alternative

A competing agency buys a list labelled “recently funded” and sends every founder a promise of global exposure. Several investments were announced months earlier; one company has already hired an agency. The outreach does not identify a communication problem, and the sender cannot explain why the timing matters. Even a reply provides little qualification because funding alone says nothing about available marketing spend, spokesperson access or the decision process for a new PR engagement.

Avoid this misconception

Funding is not a PR purchase order. Some capital is committed to product, inventory or regulatory milestones. Treat investment as one research signal, then qualify the communication need, buying authority and practical budget. A smaller business with a live market-entry problem may be a better prospect.

Know the boundary

Reputation work requires particular care. Do not infer wrongdoing from rumors or promise to erase legitimate reporting. If a situation needs specialist crisis or legal expertise, involve the right professional and avoid treating urgency as a substitute for competence.

Do this today · 30 minutes

Turn this lesson into a useful action.

Build a trigger log for five public companies, or use five fictional expansion and launch announcements.

Before you start

A document or spreadsheet and the public information described below. You can use the illustrative scenario without a website, paid account or live prospect.

Your steps

  • Record a source link and date for each signal.
  • Write one communication hypothesis without presenting it as fact.
  • Score offer fit and timing separately.
  • Draft a question and set a trigger expiry date.

What better looks like

Before: A list of business announcements treated as automatic sales opportunities.

After: A dated trigger log separating verified facts, communication hypotheses and buyer questions.

Your working notes

Notes stay in this browser. Download a copy to keep them.

Verify your work

  • Every fact has a source and date.
  • Each hypothesis is phrased as uncertain.
  • Expired or unsuitable triggers have a defined disposition.

Follow up

Review this worksheet after your next real conversation or campaign review. Record what changed, the evidence for that change and your next dated action.

Before you move on

Make the decision.

A prospect raised money eight months ago and has just announced a new regional sales team. Your list labels it a newly funded company, but the current website contains no regional customer stories. What should you do before sending the first message?
