Use operational records for observable behavior

Client data can reveal events that already occurred, such as request times, stated deadlines and recorded replies. First inspect whether the fields mean what the research question assumes and whether the records cover the relevant activity. A platform may capture only enquiries handled through its own workflow, excluding telephone or personal email responses. That omission affects interpretation. Operational records can support a valuable account of the observed system without representing every customer or supplier. Define the unit clearly: a request, organization and person are different things. Several requests from the same buyer do not become several independent buyers simply because each occupies a row.

Use surveys for reported experiences and views

A survey can ask people about experiences, priorities or perceptions that a transaction log does not capture. Write questions that respondents can understand and answer from their actual knowledge, with a suitable recall period and response options. Check whether recruitment reaches the audience you intend to describe. An opt-in survey of newsletter readers may be useful for exploring their experiences, but it is not automatically a population estimate. Keep reported dissatisfaction separate from an operational measure of lateness. Those questions can complement each other without being interchangeable or combined into one headline percentage merely because both concern the same general subject.

Use benchmarks and experiments for different purposes

A benchmark compares a defined measure across comparable groups or periods. It needs consistent definitions, coverage and collection conditions; a change in the recording system can resemble a performance trend. An experiment tests the effect of an intervention using a design capable of addressing alternative explanations. For example, a properly designed comparison of follow-up messages might investigate response behavior, but simple before-and-after observation cannot isolate the message from seasonal workload or changed suppliers. Involve an appropriately qualified researcher when causal claims, weighting or complex uncertainty are central. Choose the method for the decision required, rather than attaching scientific language to a convenient campaign asset.

Combine methods without merging their meanings

A small project may use records to describe observed events and interviews or a survey to explore possible explanations. Give each source a distinct job, its own population, period and limitations. Do not treat agreement as automatic causal proof, and investigate disagreement rather than hiding it. Estimate the cost, access, review time and analysis skills each method requires. A modest well-documented study can be a better starting point than an expensive survey that does not address the real question. The method choice should end with a clear statement of what the team expects to learn and what it will still be unable to claim.

Match the method to the claim

Records

Describe events captured by a defined system.

Survey

Explore respondents’ experiences and views.

Benchmark

Compare genuinely comparable measures.

Experiment

Test an intervention with an appropriate design.

Related methods can complement one another without sharing a denominator or proving the same claim.

See it in practice

RouteDesk’s agency selects an audit of quote-request records for the operational question and an optional buyer survey for context. In the synthetic teaching case, the final audit will contain two hundred eligible requests, while the separate survey will contain one hundred and twenty opt-in respondents. The audit measures whether a recorded reply arrived after the communicated deadline. The survey asks whether respondents found supplier response expectations unclear during a defined recall period. These measures concern related problems but describe different units and experiences. The team rejects a proposal to combine the records and respondents into a sample of three hundred and twenty buyers. It also declines to claim that RouteDesk caused better response rates, because the project contains no suitable intervention comparison. Each method now has a useful, bounded role in the campaign.

Compare the alternative

Another agency treats a convenience survey as a national poll, labels a simple customer list a benchmark and describes a before-and-after comparison as a controlled experiment. It combines repeated transactions with individual survey responses to inflate the sample. The report sounds sophisticated, but its methods do not support its claims. The problem is not a lack of impressive terminology; it is a mismatch between what was measured, who or what was observed and what the campaign says the evidence establishes.

Avoid this misconception

There is no universally best research format for PR. A survey is not automatically stronger than client data, and a larger project is not automatically more informative. The best choice depends on the question, available access, measurement quality and intended claim. A transparent limited study can contribute useful knowledge while leaving broader population estimates or causal conclusions for a different design.

Know the boundary

Avoid causal language unless the design and analysis justify it. Do not combine incompatible units or imply a representativeness that the recruitment method does not support. Use qualified research support for complex design decisions, and budget for verification and method disclosure as part of the work rather than as optional finishing touches.

Turn this lesson into a useful action.

Choose RouteDesk’s primary method and a complementary source.

Before you start

Use a document or spreadsheet and the fictional RouteDesk case. All course figures are synthetic teaching data. No purchase, confidential data, real survey recruitment or contact with journalists is required.

Your steps

  • Define the unit and measure for the record audit.
  • Write a distinct survey question about buyer perceptions.
  • State why the two sources cannot be merged into one sample.

What better looks like

Before: A desired headline with an unclear evidence base, audience and release process.

After: A bounded, reproducible finding connected to a useful audience question and an accountable campaign plan.

Your working notes

Notes stay in this browser. Download a copy to keep them.

Verify your work

  • Requests and respondents remain separate units.
  • The design does not imply unsupported causation.
  • The method fits the audience question.

Follow up

Ask a colleague to challenge the claim, denominator, permissions and audience fit. Record the revision, owner and review date before using the approach with a real client.

Before you move on

Make the decision.

The synthetic campaign includes two hundred quote requests and one hundred and twenty opt-in survey respondents. The account manager proposes calling this three hundred and twenty buyers and claiming the software caused better response times. How should the research lead respond before approving the method summary?
